Switching from Aptora TOM

Looking for an Aptora TOM alternative?

If your business runs on Aptora Total Office Manager and you're weighing a move, the questions that matter most are about your data and your books, not only features. Here is what to check in any replacement, how FieldCX answers each question, and what switching involves.

What to check

Six questions to ask any replacement for TOM

Aptora describes TOM's accounting as integrated, with its own general ledger, so that no separate package such as QuickBooks is needed.1 If you're used to that, these are the questions that separate one replacement from another.

QuestionWhy it mattersFieldCX
Is accounting built in, or synced to a separate package?A sync means two systems to keep in agreement, and a second subscription.Built in: a full ledger with receivables, payables, bank reconciliation, job costing and financial reports.
Can I bring my history, and how much of it?Fourteen years of customers, jobs and invoices is your company's memory.Yes. Fixed-price packages from opening balances to every year, with financial history included.
Will my balances match TOM's own reports?"Migrated" should mean the numbers agree, not just that the records arrived.Reconciled account by account and customer by customer, with any difference from TOM's own data listed for you to sign off.
Can I keep working while it's done?A migration shouldn't stop the business.Yes. A rehearsal on an early copy, then a cutover that brings what changed, usually over a weekend.
What runs in the field and in the office?Technicians, dispatch and accounts each need their own tools.iOS and Android for technicians, FieldCX Desktop for Mac and Windows, and the web.
What does it cost, all in?Per-user prices, implementation and migration together.US$129 per technician and US$99 per other user per month; implementation quoted; migration priced in the calculator.

Proof

A 14-year TOM history, moved in full

Our first TOM migration moved an electrical contractor in north Georgia with fourteen years in TOM: about 40,000 invoices with the payments that paid them, 90,000 work orders, 39,600 estimates and 31,000 pieces of customer equipment. Fourteen years of books were reconciled to TOM's own reports.

The contractor now runs its office, technicians and books on FieldCX and LogsNX ERP.

Before you decide

What Aptora says about its own plans

A fair comparison includes staying where you are. As of 3 November 2026, Aptora's public website says:

TOM Next Gen

Aptora's software roadmap page says Total Office Manager "is undergoing a complete rewrite" as a web app that uses the same database as the current version. The release dates on that page are from 2025, and it says no release date has been set for on-premises customers.2

Aptora 360

Aptora also offers Aptora 360, which it describes as one platform for accounting, scheduling, inventory and billing, with built-in accounting.3

Questions

Switching from TOM: questions

Do I lose my history if I leave TOM?

No. You can bring every year of history, a set number of years, or opening balances only. Years you don't bring arrive as an opening balance, so your balances still agree with TOM.

Do I need QuickBooks with FieldCX?

No. FieldCX carries a full ledger with receivables, payables, bank reconciliation, job costing and financial reports, so the books stay in the same system as the jobs.

How long does switching from TOM take?

From receiving your TOM copy to being ready for cutover: about two weeks for opening balances only and four to six weeks when you bring history. You keep working in TOM until cutover.

What does switching cost?

FieldCX is US$129 per technician and US$99 per other user, per month. TOM migration packages are fixed-price, from US$4,000 for opening balances to a maximum of US$30,000 for every year, and you can price yours in the calculator on our TOM migration page.

Is LogsNX affiliated with Aptora?

No. LogsNX is an independent company. Aptora and Total Office Manager are named on this page only to identify the system your data comes from.
